Job Description or Duties: The Enrollment Specialist for Graduate Admissions & Programs is responsible for the daily processing of non-degree and degree seeking student applications using the student information system and imaging software. Attention to detail is critical for this position. A comprehensive knowledge base of admission requirements for all graduate programs and academic policies and procedures of the Graduate College is essential. Via daily telephone and email contact, the Enrollment Specialist, assists applicants with questions regarding the application process including technical assistance with computer/web issues. This position is also responsible for the creation and maintenance of the Graduate Admissions and Graduate Studies and Research websites. As application and documents are received, a detailed search/match process is completed in PeopleSoft student information system to ensure accurate processing. Application processing is completed via data entry in PeopleSoft. All incoming transcripts and supporting documents for applicants are scanned through ImageNow, receipted in PeopleSoft and routed through virtual workflow. Application processing includes the running of Cashnet reports, a report from PeopleSoft, and importing/linking of documents in the ImageNow system. Review of receipted transcripts, update PeopleSoft (which may require the manual calculation of a cumulative GPA), and then imaging and linking transcripts to applicants record in ImageNow. As the review process is completed, a comprehensive knowledge base of all admission requirements for Graduate programs is essential progressing the application through workflow. Complete a review weekly of ImageNow queues and correspond with students and departments as needed to progress applicants through the admission workflow. Maintain and update GRE and GMAT lists. Process weekly admission letters for Non-degree students. Create and maintain Graduate Admission and Graduate Studies & Research website using Cascade. Answer incoming phone calls and emails from students, faculty and staff. Answer generic Graduate Studies email account when needed. Be familiar with Talisma (UNK’s Customer Relationship Management (CRM) software) and assist with recruitment activities.  Special projects as assigned.
Required Qualifications: High School Diploma and at least 3 years office experience in a professional setting. Strong computer skills including word processing, spreadsheets, data processing, strong written and verbal communication skills; very strong organizational skills and attention to detail; ability to use independent judgment and to manage and impart confidential information; ability to investigate and analyze technical information and to draw conclusions: commitment to quality service to students, faculty and departments and resolve concerns.
Preferred Qualifications: Bachelor’s Degree preferred; office experience in a professional setting and higher education experience preferred; experience in web design/development; knowledge of digital imaging software; worked with diverse populations.
